Managing Growth Without Visibility Across Systems

As the organization grew its programs, partnerships, and responsibilities, its technology environment grew with it. Different teams adopted tools and processes to support their own needs, resulting in information spread across 54 systems and multiple applications.

Leadership did not have a consistent view of organizational KPIs, and teams spent significant effort pulling, formatting, and reconciling information for reporting needs. For example, Finance still had to manually prepare data for about 20 funder reporting formats, despite having a financial system in place.

As processes evolved, important knowledge remained with individual staff members rather than documented workflows. The organization needed a clearer understanding of its data environment before investing in new technology.

Leadership gained a practical basis for prioritizing technology investments, planning budgets, and defining requirements for future RFPs and implementation projects. Instead of responding to issues one department at a time, the organization can align priorities across teams, sequence initiatives, and make technology decisions with greater confidence.

For staff, the recommendations identified ways to reduce manual reporting, improve document version control, strengthen security and access governance, and replace undocumented processes with more consistent ways of working. These improvements would help reduce reporting errors and give staff more time to focus on supporting healthcare providers and community programs across Alaska.
